Case study: email migration and outsourcing

Email is an essential service for any business, but often it can become a struggle to maintain. One company we worked on a project for had a Microsoft Exchange server in-house which handled the email messaging, but it was proving costly to look after, in terms of both the software and hardware.

The company liked the features of Microsoft Exchange but were finding that the cost of licensing and maintaining an Exchange server in-house had become prohibitive for them- and they certainly couldn't afford the services of a full-time Exchange administrator. We therefore proposed a solution which involved moving their email to a 3rd-party Exchange provider, cutting costs but maintaining the functions which they had become used to, which meant very little re-training would be necessary.

We sourced a suitable provider, and once the contract had been sorted out we set up user accounts, aliases and distribution groups, and then worked out a timeline for such tasks as carrying out a full backup of all mailboxes, changing the company domain mail records and reconfiguring the Microsoft Outlook software on each user's PC.

The result: less local hardware and software to maintain, less expenditure, and a reliable 3rd-party solution with a service level agreement built into the contract.
